Shipping No-Code AI Tools Safely

Credentials, data access, prompt injection, cost limits, and ownership — the checklist before you give a no-code AI tool to colleagues or customers.

The moment a no-code AI tool leaves your own hands, it stops being an experiment. Colleagues paste customer data into it. An automation runs at 3 a.m. under your account. A knowledge bot answers questions for people who can't see how it works. And when you go on vacation, or change jobs, the tool keeps running with your credentials attached.

None of this needs a security team to fix. It needs a short list of decisions made on purpose, before you share. In this lesson you'll write a one-page tool card that makes those decisions visible, then work through the five areas that cause real trouble with no-code AI tools: credentials, data access, prompt injection, cost, and ownership. You'll finish with a checklist you can run before giving any tool to colleagues or customers.

Start with a tool card

You can't secure what you haven't described. A tool card is a one-page description of what your tool does and what it can touch. Writing it takes ten minutes, and it usually surfaces at least one surprise ("wait, this automation can send email as me?").

# Tool card: Refund triage automation

What it does: reads emails to support@, extracts refund requests,
posts them for approval in #refunds, issues approved refunds.
Users: 4 support staff (approvers). Customers interact indirectly by email.
Platform: n8n (company cloud workspace). Model: provider API, our key.

Connected accounts and permissions:
- Gmail: support@ shared inbox, read + send (service account)
- Store platform: read orders, create refunds (API key, refunds scope)
- Slack: post to #refunds only (bot user)

Data it reads: customer emails, order records (name, email, items, total).
Data it sends to the model: email sender, subject, body. No order data.
Where outputs go: #refunds (staff only), customer replies after approval.
Actions without a human: none. Refunds and replies require approval.

Limits: provider spend limit set monthly; workflow skips internal senders.
Logs: n8n execution history kept 14 days (contains email content).
Owner: Priya (support ops). Backup: Sam (ops engineering).
To pause: deactivate the workflow in n8n. Last reviewed: 2026-11-02.

Every section that follows fills in part of this card. If you can't fill in a line, that's the thing to fix before launch.
